Teaching Debits and Credits in a World That Runs on Software

Walk into the finance department of almost any Nigerian bank, telecom company or growing SME today and you will find something that would surprise many university lecturers: very few people are writing in ledgers. Transactions flow through accounting software. Reconciliations run automatically. Reports that once took a team a week appear on a dashboard in minutes.

Now walk into a typical accounting lecture hall at a Nigerian university. The whiteboard is full of T-accounts. Students copy trial balances by hand. Software, if it appears at all, is a single lecture near the end of the course, taught from slides rather than from a keyboard.

This gap between classroom and workplace is quietly producing a generation of graduates who hold degrees but struggle in their first jobs. If African higher education is serious about employability, it must close that gap.

What our research found

In a recent study, my co-author Kamil Lawal and I surveyed eighty accounting graduates and practitioners in Nigeria. We wanted to know how exposure to automated accounting systems relates to two things: people’s understanding of basic accounting principles, and their confidence in manual record-keeping.

The results were more nuanced than the usual “technology good” or “technology bad” arguments. Exposure to automated systems was significantly and positively associated with perceived knowledge of basic accounting principles. This makes sense. When software handles tedious arithmetic, learners can concentrate on what a transaction means, how it affects the financial statements and why the books must balance. Automation, used well, clarifies concepts rather than hiding them.

But we also found that higher exposure to automation was linked to lower self-reported confidence in manual record-keeping. The same tools that help people grasp the big picture can weaken the hands-on procedural skills that help accountants catch errors and exercise professional judgement.

Automation, in other words, is neither a villain nor a cure-all. Its effects on conceptual and manual skills are not the same, and curriculum design must reflect that.

The employability problem

Here is the uncomfortable reality. Employers do not hire graduates to recite the accounting equation. They hire people who can post entries in a system, reconcile accounts, interpret automated reports and spot when the software has produced something wrong. A graduate who has never touched accounting software needs months of retraining before becoming productive, and many employers simply will not wait. They recruit from elsewhere, or they decide that a degree no longer signals readiness.

This is how graduates become “unemployable” in the eyes of the market. The students are not lacking intelligence or effort. They were taught a version of the profession that has largely moved on.

Our findings sharpen the point. Because exposure to automation correlates with stronger conceptual understanding, a curriculum that keeps students away from these tools may be denying them a powerful learning aid, not protecting them from a distraction.

Why not simply replace theory with software?

That would be the wrong lesson. The second half of our finding is a warning. If students learn only through automated systems, they risk becoming operators who can click through a workflow but cannot explain what is happening beneath it. When the software misclassifies a transaction, or a user enters data incorrectly, someone must recognise the error. That someone needs a solid grasp of double-entry logic and the discipline of manual record-keeping.

Think of pilots. Modern aircraft fly largely on autopilot, yet pilots still train extensively in manual flying, because the day automation fails is the day skill matters most. Accountants are no different.

A practical way forward

Our research points toward sequencing and integration, not replacement. Several steps follow.

First, teach the manual foundations early. In the first and second years, students should still work through journals, ledgers and trial balances by hand. This builds the intuition that makes later automation meaningful.

Second, introduce software alongside theory, not after it. When a lecturer teaches accruals, students should also post those accruals in a package such as QuickBooks, Sage or Zoho Books. The concept and the tool reinforce each other.

Third, use realistic scenarios. Simulated businesses, messy data and deliberate errors teach students to question outputs rather than trust them blindly.

Fourth, partner with industry. Internships, guest lectures from practising accountants and employer input into curriculum review keep institutions honest about what the profession needs now.

Fifth, invest in lecturers. Faculty cannot teach tools they have never used. Training and modest software budgets are among the highest-return investments a university can make.

A call to regulators and institutions

Curriculum reform in Nigeria and across Africa often moves slowly, bound by approval processes and accreditation standards written for another era. Bodies such as the National Universities Commission, professional institutes and university senates have both the authority and the responsibility to update minimum standards so that practical, technology-based competence sits beside theory as a required outcome.

Resource constraints are real. Reliable electricity, computer labs and software licences are not equally available everywhere. But many vendors offer education licences or free tiers, and cloud-based tools reduce the need for expensive infrastructure. The barrier is often less about money than about priorities.

Preparing graduates for the real world

Education exists to prepare people for life and work, not merely to preserve tradition. Our study suggests that African accounting graduates are best served by a deliberate blend: the conceptual clarity that automation can offer, and the manual discipline that safeguards professional judgement.

The question for universities is no longer whether to integrate practical tools with theory. It is how quickly, and how thoughtfully, they can do it. The students sitting in lecture halls today will be tomorrow’s finance leaders. They deserve a curriculum that reflects the world they are about to enter.

Gbenga Ayeni

Gbenga Ayeni is a finance and accounting professional and researcher with more than ten years’ experience spanning Nigeria and the United Kingdom. A prince from Ekiti State, south-west Nigeria, he is now based in the UK. His career cuts across education, healthcare, the humanitarian sector, social enterprise, fast-moving consumer goods (FMCG), telecommunications and local government, giving him a rare, ground-level view of how accounting is actually practised in very different organisations.

He has managed donor-funded budgets for an international humanitarian agency, appraised small and growing social enterprises, led procurement and inventory control in a university and a teaching hospital, and delivered financial reporting in UK local government. He has worked hands-on with leading accounting platforms including SAP, Sage, Xero, QuickBooks and SunPlus, and has trained colleagues in fund accounting to improve financial literacy and reporting accuracy.

Gbenga is equally committed to scholarship. His research on SME development and entrepreneurship, finance and accounting, and management has appeared in respected local and international journals, including the African Journal of Stability and Development, the Wukari International Studies Journal, the British International Journal of Applied Economics, Finance and Accounting, and the International Journal of Research and Innovation in Social Science. His work is driven by a simple conviction: that evidence from real organisations should shape how the next generation of finance professionals is taught.

He holds a BSc in Accounting and an MSc in Finance from Ekiti State University, and a Master of Research in Management Studies (Distinction) from York St John University (London), United Kingdom. He is an Associate Member of the Chartered Institute of Finance and Control of Nigeria (CIFCN), and enjoys research writing, public speaking, and teaching.
